Cancellation Policy

At The Kids Coach, we strive to provide high-quality care and support for every child enrolled in our afterschool service. To ensure fairness, consistency, and sustainability, we have implemented the following attendance and payment policy based on our new minimum full-day booking structure: ⸻ 1. Minimum Booking Requirement: Families must book a minimum of one full day per week (3-hour session). Bookings are made for specific set day(s) each week (e.g. Mondays and Wednesdays), and those selected days remain fixed for the term unless otherwise agreed with management. 2. Regular Attendance: Children are expected to attend on their booked day(s) each week. This helps us maintain appropriate staffing ratios and ensure quality care for all children. 3. Notification of Absence: If your child will be absent due to illness, appointments, or any other reason, please notify us as early as possible. This allows us to manage schedules and resources more effectively. 4. Payment Obligation: Payment is required in full for all booked day(s) regardless of attendance. This includes absences due to illness, holidays, or other personal circumstances. The fixed weekly fee secures your child’s place on those day(s) and cannot be refunded or adjusted for missed sessions. 5. Maintaining Enrollment: Repeated absences without communication may result in the loss of your child’s place in the afterschool program. Fees will still apply unless prior arrangements are made. 6. Day Changes & Exceptions: Any requests to change days or reduce weekly bookings must be discussed with The Kids Coach management and are subject to availability. Exceptions (e.g. for medical reasons or family emergencies) may be considered on a case-by-case basis. 7. Communication: It is the responsibility of parents/guardians to communicate any concerns, changes, or special circumstances with The Kids Coach team in a timely manner. ⸻ By enrolling your child in The Kids Coach Afterschool, you acknowledge and agree to adhere to the terms outlined above.
